Terms and Conditions
These Terms and Conditions govern the contractual relationship between Hadra Africa Safaris (“the Service Provider“) and you (“the Client“), including all individuals listed on the booking. By confirming a booking with Hadra Africa Safaris Ltd, you acknowledge that you have read, understood, and agreed to the terms set forth below. Should you have any questions, please contact us before proceeding with your booking.
1. BOOKING AND PAYMENT
1.1 All bookings are subject to availability and are confirmed only upon receipt of the required deposit.
1.2 A deposit of 25% (for camping safaris) and 30% (for mid-range safaris) of the total package price per person is required at the time of booking. If a higher deposit is required for a specific tour, this will be communicated prior to confirmation.
1.3 The remaining balance must be paid upon arrival, before the commencement of the tour, unless alternative payment arrangements have been agreed upon in writing.
1.4 At the time of booking, full details of all travelers (including names as they appear on passports) must be provided.
2. PRICING
2.1 All prices are quoted in US Dollars unless stated otherwise.
2.2 Prices are subject to change without prior notice and are not guaranteed until a booking is confirmed.
2.3 Prices include:
- Accommodation as specified in the itinerary
- National park and game reserve entrance fees
- Overland transportation
- Domestic flights (where applicable)
- Guide and driver fees
- Meals as specified
- Bottled water during safaris (not in lodges/camps)
- Tea/coffee twice daily during safaris
- Game drives
2.4 Prices do not include:
- Personal expenses
- Travel and medical insurance
- Laundry services
- Meals not specified in the itinerary
- Beverages
- Passport and visa fees
- Gratuities
- International flights
2.5 Meals are provided three times per day unless otherwise stated. Packed lunches may be offered during full-day excursions.
2.6 Accommodation varies based on the selected package and may include hotels, lodges, guesthouses, tented camps, and budget camping options.
2.7 Hadra Africa Safaris reserves the right to substitute accommodations of a similar standard when necessary.
2.8 Requests for accommodation upgrades after confirmation may incur additional costs and are subject to availability
3. SERVICE DESCRIPTIONS AND RESPONSIBILITIES
- All information and descriptions (including those regarding accommodation and activities) are based on the latest information available and are given in good faith. Hadra Africa Safaris is not liable for deviations from these descriptions.
- Transport provided will vary according to the itinerary and the number of clients. We attempt to ensure that the vehicles used are maintained in a decent (our opinion of) and roadworthy condition. We have contact information of rescue vehicles in all the national parks, so as to make sure our clients do not waste too much time in case of a breakdown. However, we accept no liability for breakdowns, punctures, road conditions etc and the delays or changes that these may cause.
- We reserve the right to use the services of subcontractors when necessary.
- We do not guarantee that you will see wild animals, precisely because they are wild.
However, our guides will always work very hard to make sure that our clients see the best wildlife.
4. COMPLAINTS
4.1 Any dissatisfaction with services provided must be reported immediately to the assigned tour representative (guide, driver, or tour leader) to allow for prompt resolution.
4.2 If the issue is not resolved to your satisfaction, a formal complaint must be submitted in writing within 28 days of tour completion. Complaints submitted beyond this period will not be considered.
5. CANCELLATION & REFUNDS
5.1 Cancellation by the Client:
5.1.1 All cancellations must be communicated in writing. Verbal cancellations must be confirmed via email within 24 hours to be considered valid.
5.1.2 Cancellation fees apply as follows:
- More than 30 days before departure: 5% of the deposit is non-refundable.
- 30 to 15 days before departure: 15% of the total cost is non-refundable.
- Less than 15 days before departure: 20% of the total cost is non-refundable.
5.1.3 No refunds will be issued for unused services, missed departures, or no-shows.
5.1.4 Hadra Africa Safaris accepts no liability for financial losses due to cancellations by the client.
5.2 Cancellation by Hadra Africa Safaris:
5.2.1 Hadra Africa Safaris reserves the right to cancel any tour if full payment is not received within the agreed timeframe. Cancellation fees will apply accordingly.
5.2.2 The company reserves the right to cancel any tour up to 60 days before departure. In such cases, a full refund will be provided, excluding expenses already incurred on behalf of the client (such as permit fees or non-refundable deposits to third-party providers).
Hadra Africa Safaris will not cancel your tour unless circumstances beyond our control make it unavoidable. In such cases, we will offer you the following options:
- a) An alternative arrangement of similar nature, standard, and price, if available.
- b) A lower standard arrangement, with the difference in price refunded.
- c) A more expensive arrangement, with the difference in price payable by you.
- d) A full refund.
5.2.3 Hadra Africa Safaris accepts no liability for any loss or damage arising from cancellations.
6. ALTERATIONS
6.1 Alterations by You
6.1.1 If you wish to make changes to a confirmed booking, we will make every effort to accommodate your request. The following options may apply:
- a) Alternative arrangements of similar nature, standard, and price, if available.
- b) A lower standard arrangement, with the difference in price refunded.
- c) A more expensive arrangement, with the difference in price payable by you.
- d) Cancellation with a full refund, subject to applicable cancellation policies.
6.3 Alterations by Third Parties
6.3.1 Hadra Africa Safaris has no direct control over its suppliers. If a supplier makes significant changes to an itinerary, we will inform you as soon as possible but accept no liability for such changes. In such cases, the terms outlined in section 6.2.2 will apply.
6.4 Alterations Due to Circumstances Beyond Our Control
6.4.1 In cases of unforeseen circumstances such as road closures, adverse weather, national park restrictions, hotel issues, security concerns, strikes, illness, war, quarantines, force majeure, political unrest, natural disasters, flight rescheduling or cancellations, or other acts of God, itinerary changes may be necessary. In such instances:
- You will be responsible for any additional costs incurred, though some costs may be recoverable through your travel insurance, depending on its terms.
- Hadra Africa Safaris will endeavor to find the best and most cost-effective solution.
- We accept no liability for costs or damages resulting from these circumstances.
7. LIABILITY
7.1 Hadra Africa Safaris is not responsible for any illness, injury, death, loss, or damage to persons or property arising directly or indirectly from any aspect of your tour.
7.2 We strive to ensure that all tours, activities, and services are conducted as advertised. However, while we work with reputable suppliers (hotels, lodges, flights, etc.), we do not have direct control over their services and cannot be held liable for their errors or shortcomings.
7.3 While we maintain the highest safety standards, travel and adventure involve inherent risks, and clients participate at their own risk.
7.4 Hadra Africa Safaris is not liable for unforeseen circumstances beyond our control, including but not limited to flight delays/cancellations, detentions, force majeure, war, riots, terrorist acts, border closures, government actions, strikes, thefts, epidemics, road closures, industrial disputes, extreme weather, fires, or transport technical failures. However, in the case of a vehicle mechanical failure, we will dispatch a rescue vehicle as soon as possible.
7.5 Clients are responsible for ensuring they and their dependents have valid passports, visas, travel permits, health certificates, and any other necessary documents.
8. MEDICAL TRAVEL DOCUMENTS
8.1 Clients are responsible for all medical, vaccination, and health-related requirements, including malaria prevention, visas, international currency, and passports. Hadra Africa Safaris is not liable for any issues arising from failure to meet these requirements.
8.2 It is also your responsibility to be punctual for all transport arrangements and to possess the necessary travel documents. We are not responsible for additional costs due to failure to do so. In cases where entry is denied by immigration or any other authority, repatriation costs are the client’s responsibility.
9. TOUR AUTHORITY
9.1 The guide and/or driver has final authority during the tour to ensure the safety and well-being of all travelers.
9.2 Clients must comply with all local laws and regulations.
9.3 Hadra Africa Safaris reserves the right to refuse participation or continuation of a tour to any individual whose behavior is deemed unsafe, disruptive, or hazardous. Neither Hadra Africa Safaris nor the supplier will be liable for any resulting expenses, and no refunds will be provided. Such measures are taken only in extreme circumstances.
10. SUPPLIER’S CONDITIONS
10.1 Suppliers have their own booking conditions, which you will be bound by where applicable. Some of these conditions may limit or exclude liability on the part of the supplier.
